1. Who we are
This policy explains how Property Portfolio Building (“PPB”, “we”, “us”, “our”) collects, uses and protects your personal data when you visit propertyportfoliobuilding.co.uk (the “Website”) or contact us.
For the purposes of data protection law, the data controller is Property Portfolio Building Limited, a company registered in England and Wales under company number 16713587, whose registered office is at 25–29 Sandy Way, Yeadon, Leeds, England, LS19 7EW. You can contact us at enquiries@propertyportfoliobuilding.co.uk.
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
2. The personal data we collect
We may collect and process the following:
- Information you give us when you complete the enquiry or consultation form, or otherwise contact us, such as your name, email address, telephone number, the service you are interested in, and any details you provide about your project or enquiry.
- Technical and usage information collected automatically when you use the Website, such as your IP address (truncated where possible), browser type, device information, pages viewed and how you navigate the Website. This is collected through cookies and similar technologies (see Section 7).
We do not intentionally collect any special category data (such as health or ethnicity) through the Website, and ask that you do not send us such information.
3. How we use your personal data and our lawful bases
| Purpose | Lawful basis |
|---|---|
| To respond to your enquiry, arrange a consultation and communicate with you | Legitimate interests (to respond to enquiries and run our business); steps at your request prior to a contract |
| To provide our services where we go on to work together | Performance of a contract |
| To understand how the Website is used and improve it (analytics) | Consent |
| To maintain the security and proper functioning of the Website | Legitimate interests |
| To comply with legal and regulatory obligations | Legal obligation |
Where we rely on legitimate interests, we have considered that these are not overridden by your rights. Where we rely on consent (for example, for analytics cookies), you may withdraw it at any time.
4. Who we share your data with
We do not sell your personal data. We may share it with:
- Service providers who help us run the Website and our business, such as our website hosting provider, email provider and form/CRM tools, acting as our processors under appropriate contracts.
- Google, in connection with Google Analytics (see Section 7).
- Professional advisers, regulators or authorities where required by law, or to establish, exercise or defend legal claims.
5. International transfers
Some of our providers, including Google, may process data outside the UK. Where personal data is transferred outside the UK, we take steps to ensure an appropriate level of protection, such as reliance on UK adequacy regulations or the International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses.
6. How long we keep your data
We keep personal data only for as long as necessary for the purposes set out in this policy. Enquiry correspondence is typically retained for up to [insert period, e.g. 24 months] where it does not lead to an engagement, and for the duration of any engagement plus the period required to meet our legal, accounting and regulatory obligations where it does. Analytics data is retained in line with our Google Analytics settings.
7. Cookies
A cookie is a small text file placed on your device when you visit a website. We use cookies and similar technologies to make the Website work and to understand how it is used.
Types of cookies we use:
- Strictly necessary cookies — required for the Website to function and to remember your cookie preferences. These do not require consent.
- Analytics cookies — set by Google Analytics to help us measure and improve how the Website performs. These are only set with your consent.
Google Analytics. We use Google Analytics, a web analytics service provided by Google LLC, to collect standard internet log and visitor behaviour information in anonymised form, such as visitor numbers, pages viewed and navigation paths. Where available we enable IP anonymisation so your IP address is truncated before storage. We do not use this data, or allow Google to use it, to identify individual visitors. The information generated is transmitted to and stored by Google and used to compile reports for us.
Typical cookies:
| Cookie | Provider | Purpose | Type | Retention |
|---|---|---|---|---|
| _ga | Google Analytics | Distinguishes users | Analytics | Up to 2 years |
| ga[ID] | Google Analytics | Maintains session state | Analytics | Up to 2 years |
| Consent preference cookie | PPB | Remembers your cookie choices | Strictly necessary | Up to 12 months |
(The exact cookies depend on your final consent-banner and analytics setup; update this table to match.)
Managing cookies. When you first visit the Website you can accept or decline non-essential cookies through our cookie banner, and you can change your preferences at any time. You can also control cookies through your browser settings, and opt out of Google Analytics across all websites using Google’s Opt-out Browser Add-on at https://tools.google.com/dlpage/gaoptout. For more on how Google uses data, see https://policies.google.com/privacy.
8. Your rights
Under UK data protection law you have the right to: access your personal data; request correction of inaccurate data; request erasure; restrict or object to processing; data portability; and, where we rely on consent, to withdraw that consent at any time. To exercise any of these rights, please email enquiries@propertyportfoliobuilding.co.uk. We will respond within the timeframes required by law.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk, or by calling 0303 123 1113. We would appreciate the chance to address your concerns before you approach the ICO.
9. Security
We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss or misuse. No transmission over the internet can be guaranteed to be completely secure, but we take reasonable steps to protect your information.
10. Changes to this policy
We may update this policy from time to time. The version published on the Website applies to your use of it, and we will update the “last updated” date above when we make changes.
